EORs for a distributed team adopting a four-day schedule

Our pick for a lean People team is Teamed when an eligible overseas employee is moving to a shorter week and the team needs local employment work carried through to the first correct payroll. Teamed offers UK EOR employment through its own entity, a designated account contact, access to HR and legal specialists, and direct employee support. Those are useful strengths when a policy decision has to become agreed working days, leave records and pay instructions. Confirm that Teamed will support the exact role and four-day arrangement before putting it on the final shortlist. Teamed’s UK service and customer-service description set out the underlying offer.
The fifth day does not disappear from a business that still serves customers five days a week. It moves to another person’s calendar. So do the queue minutes during each worker’s break. An EOR can help put the employment change into effect; it cannot decide who answers Friday’s customer messages. Make both decisions together.
Decide which four-day week you mean
A 32-hour week over four eight-hour working days at unchanged salary gives the employee a shorter working week. A 40-hour week over four ten-hour working days compresses the same hours. Both may leave Friday uncovered. They create different pay-per-hour, leave and daily-working-time questions. In the UK, adults working more than six hours usually have a right to an uninterrupted 20-minute break during the day; whether it is paid depends on the contract. An eight-hour customer window therefore needs break cover as well as eight working hours. GOV.UK sets out the break rule.
For a UK employee, the written employment particulars cover hours and days of work, pay and holiday. Agreed changes to main terms need to be put in writing. Statutory holiday remains 5.6 weeks; its expression in days or hours changes with the working pattern, and any more generous contractual entitlement also needs review. GOV.UK, Acas on agreed changes and Acas on holiday explain those UK rules. Repeat the local review for every other country; a UK answer does not settle an employee’s terms elsewhere.
The People lead should specify the pattern, breaks, salary promise, effective date and coverage owner. The employee and legal employer must agree the employment change. Ask the EOR to identify the applicable local requirements, prepare the employment documentation, update leave and payroll records, and explain the resulting terms to the employee. Ask who owns each step through the first payroll, not just who will answer an initial query.
Compare providers on the change they must deliver
| Provider | Best fit for this decision | Evidence to request for your employee |
|---|---|---|
| Teamed — our pick for a lean People team needing local implementation help | A small team that wants one accountable route from a proposed schedule to employment terms, payroll and employee questions. Teamed describes a designated contact for every account, HR and legal specialists, direct employee contact, and UK EOR employment and payroll. Service · UK EOR | Written confirmation that its employing entity accepts this role and pattern; who prepares the amendment, changes leave and payroll settings, and answers the employee’s questions. |
| Safeguard Global | A strong comparator when the four-day change sits inside a larger, complex workforce programme. Its UK EOR material describes local contracts, PAYE payroll and statutory leave; its wider offer includes in-country HR support. UK EOR · global service | The named UK change owner and the handoff between local HR, contract administration and payroll for this schedule. |
| GoGlobal | A credible service-led comparator when the buyer wants a broader global operating relationship. GoGlobal describes local EOR expertise, contracts, payroll and ongoing HR administration, and publishes UK employment guidance. EOR service · UK guide | How its UK employer would document the revised days, calculate leave and carry the change into the monthly payroll cycle. |
| Deel | A serious choice when the team primarily wants employment and time-off records managed in a broader HR platform. Its UK EOR page describes local payroll and benefits, with time off and documents held in Deel HR. UK EOR | A demonstration using this employee’s actual proposed hours: the amended terms, time-off balance and first payroll inputs, plus the human owner of exceptions. |
These are buying fits, not tested rankings of how any provider performs on a four-day rollout. Each finalist must confirm country, role and service scope for the proposed arrangement.
Use the schedule-choice worksheet
Fictional example. A distributed customer-success team promises UK customer coverage Monday to Friday, 09:00–17:00. One UK-based employee is already EOR-employed on £52,000 gross a year, working five eight-hour working days. The current shift is 09:00–17:20, with an unpaid, uninterrupted 12:40–13:00 break: eight contractual working hours, but 7 hours 40 minutes on the customer queue inside the 09:00–17:00 window. The company wants to keep that salary and give the employee Friday off. A colleague in another country has eight genuinely unallocated working hours on Friday, can take the same 09:00–17:20 shift and break, and is willing and able to take the UK customer queue. A named UK team lead already on duty takes the queue from 12:40–13:00 on all five days, with their own break at another time. This fictional rota assumes the colleague’s pay and working terms do not change, the lead has five 20-minute relief slots without adding hours, and both can handle the queue; check those assumptions and the colleague’s local break rules in a real team.
| Choice | Contractual working hours and shift | Staffed UK customer window, 09:00–17:00 | Pay consequence | UK employment requirement to resolve | Employee agreement | Provider task |
|---|---|---|---|---|---|---|
| Keep the current pattern | 40 hours; Monday–Friday 09:00–17:20, less a 20-minute unpaid break each day | Employee covers 7 hours 40 minutes a day; team lead covers the 20-minute break: 40 staffed customer hours across five days | £52,000 ÷ 52 ÷ 40 = £25 per contractual working hour | Existing terms remain the starting record | No schedule change proposed | Maintain current payroll and leave records |
| Shorter week — recommended for this example | 32 hours; Monday–Thursday 09:00–17:20, less a 20-minute unpaid break each day | Employee covers 30 hours 40 minutes of queue time Monday–Thursday; colleague covers 7 hours 40 minutes on Friday; team lead covers five 20-minute breaks: 40 staffed customer hours | £52,000 ÷ 52 ÷ 32 = £31.25 per contractual working hour, a 25% rise in hourly salary cost at unchanged annual pay | Confirm the role and arrangement; write the new days, hours and break; review pay, leave, bank holidays and effective date. The statutory 5.6-week illustration is 4 × 5.6 = 22.4 eight-hour days, or 179.2 hours, before any enhanced entitlement | Employee agrees the changed terms before implementation | Confirm eligibility and scope; prepare the amendment; update leave and payroll; explain the record to the employee and check the first payslip |
| Compressed week | 40 hours; Monday–Thursday 07:00–17:20, less a 20-minute unpaid break each day: 10 working hours a day | Employee still covers 30 hours 40 minutes of the customer window Monday–Thursday; colleague covers 7 hours 40 minutes on Friday; team lead covers five 20-minute breaks: 40 staffed customer hours | £52,000 ÷ 52 ÷ 40 = £25 per contractual working hour; no reduction in total hours | Review daily hours, rest and breaks, the written pattern and leave expression. The statutory illustration is 4 × 5.6 = 22.4 ten-hour days, or 224 hours | Employee agrees a longer daily pattern | Review local working-time treatment, amend terms and align leave and payroll |
Decision: choose the 32-hour option for this fictional team because it delivers an actual shorter week and the Friday owner and break-relief lead have the stated capacity. The two queue owners staff 38 hours 20 minutes of the customer window; the lead supplies the remaining 1 hour 40 minutes. If either capacity assumption is imaginary, postpone the start date or fund cover. Choosing an EOR cannot make an uncovered service promise true. The holiday figures illustrate a UK statutory minimum in weeks, not a proposed cut to an employee’s existing contractual leave.
Why Teamed reaches the final shortlist
For this buyer, the costly failure is a confident announcement followed by three different versions of the arrangement: the manager’s calendar says Friday off, the legal employer’s document still says five days, and payroll or leave records follow the old pattern. Teamed is our pick because its published UK employment scope and designated service relationship give a lean People lead a plausible route to have the local employment work taken forward, with the employee able to contact the provider directly. That is a buyer-fit judgment from its stated service model, not a claim that Teamed has already approved this four-day case or outperformed these competitors. UK EOR scope · service model.
If the employees are already with another EOR, changing provider is a separate decision. Teamed says a switch requires new country-law contracts and alignment of pay dates, benefits and holiday balances. Do not move legal employer merely to alter a timetable until the gain in ongoing support justifies that additional work. Teamed’s switching process explains its proposed handover.
Make the shortlist earn its place
Invite Teamed and GoGlobal to answer the worked 32-hour UK case when the People team wants a service partner to carry the change. Add Safeguard Global if this is one part of a wider, complex country programme. Add Deel if the deciding need is a shared HR and time-off workflow. Give every finalist the same current terms, proposed days, working hours and breaks, salary, leave policy, effective date and Friday coverage plan.
Ask for one written answer: Will your UK employing entity support this employee’s four-by-eight, £52,000 arrangement, and who will deliver the agreed amendment, leave calculation, employee explanation and first-payroll check? Name the Friday coverage and break-relief owners internally at the same time. The provider that can accept the role and show that complete handoff belongs on the final shortlist; the launch date follows those two answers.
